Setting Up Email in Outlook
Once you have set up an email address (or addresses) through Shortgrass Web Development, you can
use Microsoft Outlook to check and manage your domain-based email.
Setting Up Outlook
1. Open Outlook.
2. Go to Tools > E-mail Accounts.
3. Select "Add a new e-mail account" and click "Next."
4. Select "POP3" and click "Next."
5. Enter the following:
- User Information
- Your Name: Enter your first and last name, or nick name
- E-mail Address: Enter the email address you created (i.e.
"NAME@YOURSITE.EXT", where "name" is the name
you chose for the email address, "yoursite" is your website name, and "ext" is the .com, .org, or .net of your website name)
- Server Information
- Incoming mail server: mail.YOURSITE.EXT (Example: "mail.shortgrass.com")
- Outgoing mail server: mail.YOURSITE.EXT (Example: "mail.shortgrass.com") NOTE: Some Internet Service Providers require that you set up your Outgoing Mail Server to go through them. A prime example is Bresnan (mail.bresnan.net)
- Logon Information
- User Name:The username provided to you by Shortgrass Web Development
- Password: The default password provided to you by Shortgrass Web Development
If you do not know your email username or password, contact Shortgrass Web Development
6. Click the "More Settings" button.
7. Click the "Outgoing Server" tab. Select "My outgoing server (SMTP) requires authentication" and click
"OK."
This step is extremely important, as it is the most commonly overlooked setting when setting up emails.
8. On the next screens, click "Next," then "Finished."
Changing Outlook
1. Open Outlook.
2. Go to Tools > E-mail Accounts.
3. Select "View or Change Existing Accounts" and click "Next."

4. Highlight the account you wish to change, and then click the "Change..." button.
5. Proceed to make any necessary changes to your email account, then click "Finish".

Common Problems
There are a few common problems that people experience during their first attempt at using their new email account:
Attachment Size: There is a 10 MB limit on your email attachments, so please keep this in mind when attempting to send Microsoft Publisher, Adobe Photoshop, or multiple uncompressed images. A quick fix is to try compressing your attachments into .ZIP or .RAR files.
3rd Party Programs: Many people have SPAM Filters and Firewalls running on their computer (ex: Norton, McAfee, etc) which can interfere with your ability to send and/or recieve emails. If you are running a 3rd party 'Internet Protection' program, please consult your User's Manual for additional information on configuring your program's internet and email settings.
